Subject: Adopting Planters Between Campus Center and Science Library Building
I believe we have assembled all the needed information that will permit the Science Library Gardens Group to adopt the planters on the garden level between the Campus Center and the Science Library Building. Attached please find the signed agreement, a supporting memo from the Dean and Director of Libraries, a plan and, below, a list of participating individuals and a list of materials we would like the Plant Department to supply this fall.
Please note that the plan will be-implemented as resources permit, with unused spaces filled in with mulch and annuals in the meantime. In some cases, varieties have not been determined yet (e.g. "Lilac"). We will be researching such items in order to determine the best variety in terms of size, shape, growth habit, color, hardiness, etc. over the winter. We might substitute other species if they seem more suitable. We did not want to delay getting the plan to you, so we have submitted it with our current thinking. We do not expect the general plan to change.
We are planning a garden that will be limited to various tones of purple and gold, with some white (and green). This should be restful and cooling in a hot location. Shade loving plants will be at the end immediately in front of the Science Library building due to the shade cast by that structure. We are aiming for year round interest, some fragrance and the use of drought tolerant plant materials as much as possible.
The group is very enthusiastic. We will be documenting our activities in a notebook and on a web site, keeping in touch via a listserv and looking toward events and fund raising. We appreciate very much your willingness to work with us and give us some support.
Bulbs needed for fall planting: all to be purple and gold only and a mixture of early, mid and late season varieties

Fritillaria meleagris (Guinea Hen Flower) - 100
giant purple allium - 100
bulb food or bone meal in an appropriate amount
Tools: We would appreciate having, as soon as possible, an assortment of weeding tools that we can keep in the Science Library.
I have a "key" used to turn on the faucet where the hose has been attached on the podium level near these gardens. It is possible to turn the water on and off with it, but it is difficult to do so. This is because the key doesn't fit properly and is becoming damaged with use. Could we trade it in for one that does fit that faucet? I do want to thank you very much for supplying the hose so quickly last week when I mentioned that someone would be able to water that evening.
Other:
I have been approached by a professor who would like his class (spring 2000) to assist us as a service project. Can he and I work this out or is some sort of permission required? We feel that it is imperative that the sprinkler system in the planters be repaired before the spring planting season. Should I ask Meredith to lend her support for that endeavor or is it really being dealt with?
Regarding the text of the agreement, I have taken the liberty of removing an errant apostrophe following "its" in the last line of paragraph two. List of persons participating: Meredith has given approval for any interested staff member to participate. Most activities will take place on our own time.

This Agreement between the University at Albany's Physical Plant Department and interested parties wishing to adopt a planter will take effect on the date each party has met the conditions and signed this agreement.
The planters shall be maintained in accordance with the guidelines set up by the University. This agreement shall be renewable annually upon review of Grounds Management the Physical Plant department or its designee.
Interested persons must provide the Physical Plant Dept. with the name or names of their Supervisor and a letter of approval from such supervisor. Should the adoption of a planter involve multiple individuals a contact person must be named and supply the University Grounds department with a name and daytime phone number of this person.
During the time a planter is adopted you agree to maintain the plants and have the area looking presentable at all times. All selection or plans of plants and plant material would need to be approved by the Physical Plant Dept. The Plant Department will supply modest support and a limited supply of tools, fertilizer and other soil amendments as deemed appropriate.
At any time the University deems this maintenance agreement has not been satisfied, the University Grounds Dept. will provide corrective measures as needed and a review of this agreement by interested parties would be taken.

I am very pleased to support the commitment of the Library staff interested in maintaining the gardens in front of the new library building. They are an enthusiastic and knowledgeable group of staff interested in improving the aesthetics of the campus. They are organized by Heather Miller, who is an extremely knowledgeable and experienced master gardener. I see this volunteer effort as a win-win project for the Library staff and the Plant and Facilities Department.
