Printing Open Office documents

Hello All.

Yesterday, I helped a patron who wanted to print out an Open-Office document. Since we do not have the Open Office program in public computers, I had to use online word processor such as Google
Document.(http://docs.google.com/)

You have to have a Gmail account for this service. Then, you can upload the open office file to your Google Document account and edit it from there or print it out. Google Doc can handle below file formats;

Microsoft Word (.doc),
Rich Text (.rtf),
Open Document Text (.odt)-Open Office
Star Office (.sxw).
Microsoft PowerPoint (.ppt, .pps).
Comma Separated Value (.csv).
Microsoft Excel (.xls)
OpenDocument Spreadsheet (.ods).

JSTOR Printing

Hello,

A patron called and was unable to retrieve an article in JSTOR for printing even though it had a link to a PDF.

Clicking the PDF link did not retrieve the article, instead it pops up a "Terms and Conditions" paragraph. After clicking "Okay", the article will still not pull up. Clicking the title allowed you to view the article and thumbnails of the pages, but there was no obvious way to print the article.

This is how the PDF was eventually retrieved:

1. Right-click on the PDF hyperlink.
2. Choose open. JSTOR's "Terms and Conditions" statement pops up.
3. Select "Proceed to PDF".

Another patron just came up and found that you can hold the shift key while clicking the PDF link and this works as well.

(Apparently the trouble is due to pop-up blockers).

Free Printing for Graduate Students

Yesterday while I was one the desk a grad student told me that graduate students can print up to 100 pages a week free in the GSO office in the Campus Center.

This is what I found on the GSO site:
"Students are limited to copying and printing a total of 100 pages per week. You must sign up with the Office Manager to receive your personal, individual code for access to the copier. No copying of books will be allowed."

The student I spoke to yesterday said there are two computers and the grad student is only allowed around 10 minutes if there are others waiting, so the student should know ahead of time what they want to print--don't expect to do research at the computer.

How to Fix Larry

Inside Larry there are two little blue levers. One on the left and one on the right. The left one does not stay in place. If you push it back up so that it is in the same position as the one on the right you can shut the door. Once the door is shut Larry is happy and begins to print again.

Office 2007 printing

Hi,

Kind Fred has placed an Office 2007 compatibility package on reference desk terminal C. This will allow us to assist users in printing documents that they created in Office 2007. Fred says that you don’t need to do anything special just go to open the document and the compatibility package will recognize it. This also should not affect your ability to create/edit your own documents using Office on reference desk C and then open them on your office PC.

SUNYCard downtime 3/24 and 3/26

Hi all,

As you saw in an earlier message from Fred, SunyCard service will be unavailable while they do upgrades:


Saturday March 24 7:00am-9:00am

Monday March 26 8:00pm – completion (estimate 6 hours)

Edmee made a very nice case for library user needs. Barbara, Fred, and others worked with ITS and here is what they came up with:


Saturday March 24 – no problem the maintenance takes place before we open

Monday March 26

1) Signs will be posted in the libraries no later than Thursday March 22 warning users to have sufficient funds on their SunyCard before Monday as they will not be able to add funds in the evening.

2) On Monday signs will be posted on the SunyCard machines telling users they can purchase a card valued at $5.00 at the circulation desk. There will be approximately 100+ cards available at ULIB, cards will also be for sale at Dewey and Science.

3) The Uniprints & photocopiers will be placed in offline mode. It will be possible to print up to 30 copies from the Uniprint or photocopier with your SunyCard. Once the SunyCard system comes back up that money will be deducted from accounts. (this can create some confusion later – a patron puts a $1.00 on their card Tuesday and the Uniprint says they have no money – well the $1.00 went to pay their debt for copies made during offline mode time)

Adding Papers to the Uniprinters

Please follow these instructions when adding paper to the Uniprinters.

Fill right side Tray #4 ONLY

Do not fill to the top - leave one inch

Paper is in the bottom drawer of tall cabinet at the Reference Desk

Additional paper is in tall cabinet next to Eva's desk - when that supply is low call Tony Latham for more paper at 442-3596.

Printing out student class schedules

There is a slight trick involved in getting these to print out correctly:

If you print directly from myUAlbany, it defaults to printing out the selected frame, which results in a largely blank page. To get it to print the entire schedule, you just need to select 'As laid out on screen' from the print dialog box.

If all 3 uniprinters are down, call ITS Help Desk 2-3700.

If 1 uniprinter is down, send message to refprob.

Send Uniprint alert to liball when uniprint is down and when it comes back up.

Microforms Printing

Over the past several years, the University Library has purchased four digital microforms scanners to replace an aging stable of traditional, analog microforms reader/printers. At the end of June 2006, the maintenance contracts on the analog machines expire. As luck would have it, the supply of toner for the older equipment ran out earlier this week. Therefore, effective immediately, the analog reader/printers (and their free paper output) are no longer available.

The digital scanners produce PDF output (technically, other image formats are available, but I’ll keep this simple). PDF files may be saved to disk (flash drive, Zip, CD) or emailed. In addition, PDF files may be printed to the UniPrint system for a fee of $0.10/page for black-and-white copy. Instructions for using the equipment are both posted and available in print handouts. Two of the scanners require authentication with NetID and the other two are available for guests to support microforms access for unaffiliated users.

Science Library continues to offer access to traditional microforms equipment (and free paper output). Dewey Library has both digital and analog reader/printers.

Toner & Printer Jams

Hi everyone,

Lately, we've had a number of Uniprint problems. Here are some suggestions and clarification of some procedures that hopefully will help.

Problem - "Toner is low"

Solution:

1. If "toner is low", take the toner cartridge out and shake it. This can extend the life for a day or more.

2. MAKE SURE you have a spare. Don't' wait. Don't assume someone else is doing it. Contact Library Systems immediately if there is no spare.



Problem - Toner is completely out

Solution:

1. Use your spare cartridge.

2. Follow the instructions on the sheet that is attached,which includes MAKING SURE to contact Library Systems that you need a new one.

UNDER NO CIRCUMSTANCES SHOULD ANYONE REMOVE A TONER CARTRIDGE FROM A WORKING UNIPRINT PRINTER TO MAKE ANOTHER ONE WORK.

3. If all of the Uniprint printers in one library are out of order after hours, call Library Systems on the emergency cell phone - it is an emergency.



Problem - Printer jams

Except for removing the paper, the only general solution is to follow the instructions on the LED display and clear the printer jam. Sometimes that does not work. Especially for Powerpoint or PDF printouts, here is something to try:

1. Remove the jammed paper, following the instructions on the LED display.

Try printing again.

2. If it takes a very long time for the next page to print, then:

a. Try pulling out "Tray 4" (the big bottom tray)

This will force it to print from the smaller trays.

b. When the job finished printing, push Tray 4 back in.

3. If it jams again, repeat.

4. If it keeps jamming, there's nothing you can do except put an out of order sign on it.

Problem - the printer LED displays "Processing....", "Processing" and the job never prints...:

Solution: Put an out of order sign on it. Again, there is nothing library staff or Library Systems can dot until ITS can delete the print job from the server which probably will not occur until the next work day.

NOTE: If all of theUniprint printers in the building are out of order after working hours, make sure to call and leave a message on the Library Systems emergency cell phone - it definitely is an emergency.
